About the role

Paperware is a growing, family-owned business supplying packaging, cleaning, hygiene and prep essentials to customers across NSW and beyond. Our Managing Director needs a true second-in-charge of the office. Not an assistant. Not a coordinator. An Office Manager who will take the day-to-day running of the office off his plate so he can focus on growth and customers.

This is a role for someone who wants a space to own. You will run the office, own the systems, hold the team accountable, and solve problems without being asked. If you have been waiting for a role where you can step up and be trusted to make decisions, this is it.

Australian citizenship is required for this position.

What you will own

The smooth daily operation of the office and back-office

Customer experience, from enquiry through to delivery

Order entry, invoicing, credits and accounts admin (managing the work, not just doing it)

Data integrity across HubSpot, Unleashed and Xero

Supplier, customer and team follow-up. Nothing dropped, nothing forgotten

Process improvement. If something isn't working, you fix it

Leading and developing office and customer service staff as the team grows

What success looks like in 12 months

The MD is no longer involved in day-to-day admin

The office runs to a predictable rhythm. The team and customers know they can rely on you

Systems are clean, current and trusted. Reports are ready when they should be

Issues are being solved at your level, not escalated upward

Who this role is for

You have run an office, operations function or been a 2IC in a small to mid-sized business

You must have a minimum of 5 years' experience in office management or second-in-command roles.

You are comfortable making decisions and being held accountable for them

You hold others accountable, respectfully but firmly, including more senior staff

You are calm under pressure and bring solutions, not just problems

You are confident across CRM, inventory and accounting systems (HubSpot, Unleashed and Xero ideal, or strong equivalents)

You must have proven experience with at least two of the following system types: CRM, inventory management, and accounting systems.

Anyone looking for a junior or coordinator-level admin role

Anyone who needs daily direction or detailed instructions to operate

Anyone who escalates problems rather than owning them

Anyone who sees this as primarily order entry, reception or PA work

Anyone wanting a quiet 9-to-5 with limited responsibility
